Creating an AI Job Interview
Step-by-step guide to building an AI Job Interview
Getting Started
There are a handful of ways to create jobs within Apriora. Start by clicking the Add Job button. You’ll find this within the Jobs page at the top right.
On the next screen, choose Phone or Video and click Continue. Some customers will only have one interview modality as part of their Subscription.
Starting from a Job Description
Most jobs will be created from a JD that is already available. There are three options:
- Click Input job description to copy/paste your JD
- Click Upload job description to upload a document containing your JD (.docx format please)
- Click ATS and add the Job ID on the following screen [ Available for some, but not all, ATS integrations ]
Here you can also assign a Template or Messaging for the Job.
- Select the Template you would like to use from the dropdown box. The Job will pre-populate with whatever is in the Template, as well as with questions and context specific to the Job Description.
- Select the Messaging you would like to use from the dropdown box. This will control the communication that is sent to candidate who apply.
When pasting a JD, there is no need to worry about formatting. If you like, you may use the Interview Creation Notes text box to give Alex some direction as to the types of questions you’d like to see in the interview. Use this box in the same way you would tell a recruiter how you would like them to approach the interview.
Click Generate.
Customizing the Interview
Next, you will be taken to the Create page that will be pre-populated based on the information in the JD and Template (if applicable). Customize anything you want on this page by clicking into the respective text box.
Introduction and Ending
These fields will pre-populate, but feel free to edit them however you see fit. The introduction must end with a question, so the candidate knows it is their turn to speak.
Use the Add Variable button in the bottom right corner to customize the greeting.
Adjusting interview questions
You can edit, reorder, delete and add questions and follow-ups.
- Edit: click directly within the question box to edit the text. Click the green check on the right-hand side when finished.
- Reorder: click the dots on the left-hand side of the questions to drag questions into the desired order.
- Delete: hover your mouse over the question you want to delete and you will see a red trash icon appear on the right. Click the trash icon, then click the green check to confirm.
- If you click the trash icon by accident, click the grey X that appears to keep the question.
- Add: click the grey plus icon at the bottom of the list of questions to add your own question. You can also take advantage of additional AI-generation questions.
- Additional question instructions: Without specific instructions, Alex may or may not ask follow-ups, depending on how well the candidate’s response answers the question. To direct a specific follow-up flow, use the ”+” to add instructions based on the candidate’s answer.
Additional questions via AI question generation
Click the purple View suggestions button to take advantage of more AI-generated questions based on the JD. The following box will appear on the right hand side of the question section.
The suggestion box will pre-populate skill Categories based on the role. Click on one of the skill Categories to reveal the questions suggestions related to that skill. Click +Add to include the question in the interview.
You can also add a Category by clicking the grey Plus icon. Type in the Category type (such as “Communication”) and click the green Check icon to generate job-specific skills for that Category.
Within a Category, you can also ask Alex to re-generate the questions. Click the Circular Arrow icon to re-generate. You can also get even more specific with what kinds of new questions you want. Maybe the suggestions were too long-winded: Select More concise. Maybe the questions were too specific: Select More open-ended. Alternatively, you can direct how you want Alex to re-generate the questions, by typing a similar instruction into the Custom text box. You could say “More technical” or “Focus on TensorFlow”.
Context
Context is where to add details about the role and the company. Alex always concludes the interview by asking candidates if they have any questions. Alex will only be able to answer questions based on the information in the Context box (not the entirety of the JD).
- If, for example, you want Alex to be able to share details about the role’s salary, make sure it is included in Context.
- Conversely, if you don’t want Alex to pass along salary information, make sure it is not included in Context.
Grading Criteria
Alex will generate Grading Criteria based on the questions that are asked.
- Add a criterion by typing it into the text box and click Add
- If you add a new criterion, make sure Alex will ask the candidate a question that will allow Alex to grade the candidate on this criterion. You may need to go back into Structure to add a question.
- Delete a criterion by clicking the ”-” icon next to the name within the purple box
Assign Criteria different priorities by clicking Add Priority. Criteria are equal weighted by default. Those marked High will have more influence on the Overall Score and those marked Low will not impact the Overall Score by much.
You may also edit the Grading Criteria and how it is evaluated by hovering over the item and clicking Instructions. You will be able to edit the text and add instructions, such as how you want Alex to grade candidates with respect to this category.
Creating Tags
Tags are identifiers that are captured in the candidate report for ease of sorting, but do not influence the overall score. They are used to tag candidates with certain qualifications or attributes. Alex with automatically generate some tags based off the interview questions. Feel free to delete any auto-generated tags by clicking the X in the purple box.
To create a new tag, click Add Tag. Choose a name for the tag, and add the possible response options that you envision. They may be as simple as Yes or No. Let Alex know what you are tagging for in the Instructions box. See the example in the screenshot below.
- If you add a new tag, make sure Alex will ask the candidate a question that will allow Alex to tag the candidate appropriately. You may need to go back into Structure to add a question.
- It is often helpful to include options like “Both”, “Neither” or “None” in addition so the specific answers so as to cover the full range of possible candidate responses.
Advanced
There are a few final boxes which you may populate or leave blank:
- Additional Interview Instructions allows you to give Alex general instructions about how to conduct the interview, such as “use a casual tone” or “don’t ask follow up questions.”
- Additional Evaluation Instructions gives you the opportunity to give more about the grading criteria, and what to look for in the answers. For instance, you could add a custom grading rubric or instruct Alex not to mark candidates down for imperfect grammar, if you will be interviewing many ESL candidates.
- Allow Retakes is a toggle that will allow one candidate to take the same interview multiples times (this feature is usually used in rare circumstances only).
- Calendar Settings allows you to set a deadline past which candidates cannot schedule interviews.
- Form Inputs is a video-only option that can ask or require candidates to add their Linkedin, phone number or resume before they enter the video interview.
Click Create when you are finished.
Congratulations! You’ve just created your first AI Job Interview.
Starting from a Scratch
You also have the option to start from Scratch, in which you will build the interview from the ground up. You can still leverage AI-generated questions by clicking View Suggestions on the right. Type details about the job into the box and click Ask the Interviewer. Follow the instructions above on AI question generation.
From Scratch is typically used in conjunction with a Template, which pre-populates many of the fields to start. We will review Templates in a future section. Choose a Template from the drop down menu, click From scratch > Continue. Follow the rest of the instructions from this guide as you complete each step of building the Interview.
