Getting Started

Some Jobs require outreach that differs from the default. Messaging templates allow you to create various outreach flows without the need to edit to each Job’s settings individually.

Start by heading to the Messaging tab on the left hand navigation pane. There you will see the company default.

Creating a Messaging Template

Start by clicking the Create button at the top right of the Messaging page.

This will open up a box that asks you to name your Messaging template. Once you name it, you will be taken into a Messaging template page, where you can control the emails and texts that get sent to candidates.

NB: At present, video interviews outreach is done by email and phone interview outreach is done by SMS. Depending on your subscription, you may only use one interview modality. In that case, emails or text may not be relevant. Defaults will populate for both, but no need to edit the email or text page if they don’t apply to your job interviews.

Email Outreach

There are three types of emails:

Invitation email: This is how candidates will be invited to the job interview. You can use this email to greet the candidate and to provide a link to take or schedule their interview.

Reminder email: This email will be sent to candidates who have not yet taken or scheduled their interview.

Follow Up email: This email will be sent to candidates after they have completed their interview. You can use this email to thank them for their time, provide feedback, or ask for additional information.

The default setting sends an Invitation and Follow Up email, as well as one Reminder email after 2 days. The number and cadence of Reminder emails is fully customizable.

The emails will pre-populate with suggested messaging. Make any changes you like. Take advantage of the 7 buttons at the bottom of the email body:

  1. Add Variable: there are 5 available variables:
    1. Position Title
    2. Company Name
    3. Schedule Link
    4. Interview Link
    5. Candidate First Name
    6. Candidate Last Name
  2. Bold: makes text bold
  3. Italic: makes text italic
  4. Add Link: add the link to take the Interview, schedule the Interview, or a custom link.
  5. Add Button: add a button to take the Interview, schedule the Interview, or a custom button.
  6. Ask AI: don’t like the default? Ask AI to generate something for you!
  7. Preview Email: show how the email will look, replacing the purple variables with example text.

SMS Outreach

The default setting sends an Invitation text to candidates to schedule their job interview. If this is toggled off, candidates will get called right after they apply, assuming invite automations are enabled.

Tread lightly! Some candidates don’t love getting called out of the blue. However, this approach is relevant for certain kinds of high volume / high turnover roles where speed is the name of the game.

The default setting for Reminder texts is one text after 2 days. The number and cadence of Reminder texts is fully customizable.

There are five types of texts:

Invitation Text: This text greets candidates and asks them when is a good time for them to interview.

Missed Call Text: If your settings have the candidates receiving a call first, this text is sent if the initial call is not answered

Dropped Call Text: If a call is dropped during the interview, this text is sent to candidates.

Interview Completed Text: If a candidate calls back after their interview is complete, they receive this text

Interview Incomplete Text: If a candidate calls back, but their interview was never completed and they have missed the window to complete it, they receive this text.

Assigning a Messaging Template

Once you’ve created a custom Messaging that differs from the default, head over to any Job to assign this template. Click into the individual Job from the Job tab. In the top right hand corner, you will see a drop down box labeled Messaging. Select your Messaging template from the list and click Save.
